Privacy Policy

This Privacy Policy explains what ToolsPivot is, how our tools work, and exactly what information we do and do not collect when you use toolspivot.com, including the document and image tools at toolspivot.com/doc (DocPivot) and our video tools. We have written it in plain English so you can actually understand it.

The short version

ToolsPivot is a free collection of online tools for SEO, web, content, images, documents, conversions, and everyday utilities. Three things matter most for your privacy:

  • Many of our tools run entirely in your browser. Most of the DocPivot image and document tools, the Color Picker, text and code tools, converters, and the metadata viewer do their work on your own device. The files and text you use with them are never uploaded to us and never reach our server.
  • Some tools have to run on our server. Tools that check a website, domain, IP, that convert or repair a document, that read text from a scan, or that use AI cannot work inside your browser alone. When you use one, the file, address, or text you enter is sent to our server and, for some tools, on to a third-party service to get you the result.
  • Files you upload are deleted on a timer, not when we get round to it. A file sent to a DocPivot tool is deleted 30 minutes after the job is created, automatically.

We tell you which is which throughout this policy. We do not sell your personal information.

Information you give us

What you type into a tool

When you use a server-side tool (for example a website safety checker, "is it down" checker, WHOIS or DNS lookup, blacklist lookup, a plagiarism or grammar check, an AI writing or detection tool, and similar), the URL, domain, IP, or text you enter is sent to our server so the tool can run. To produce a result, we may pass that input to the third-party service that powers the check (see Third-party services). We also keep a limited usage record, which can include the input you submitted, the tool used, your IP address, and the date, for abuse prevention, rate limiting, debugging, and improving our tools. How long we keep each of those is set out in How long we keep information. Please do not enter passwords, financial account numbers, or other sensitive personal data into any tool.

When you use a client-side tool, what you type or the file you open stays on your device and is not sent to us at all.

Files you upload

Most of our image and document tools process your file inside your browser, so it never leaves your device. The rest — for example PDF conversion and repair, OCR, office-document conversion, and video metadata removal — need the file on our server to work. For those:

  • The upload limit is 100 MB per file.
  • Your file and its result are stored outside the public web directory, where they cannot be reached by a web address.
  • Both are deleted automatically 30 minutes after the job is created, whether or not you downloaded the result.
  • Processing happens on our own server using local software (qpdf, libvips, LibreOffice, Tesseract OCR and similar). The contents of your document are not sent to any third party.
  • We apply a rate limit of 20 jobs per hour per visitor to prevent abuse.

Video tools

Our video tools work differently from the rest of the site, and you should know how before you use them.

  • You paste a link to a video hosted on a third-party platform. Our server, not your browser, then contacts that platform to read the video's available formats. The request reaches the platform from our server's address, not yours.
  • Because some platforms are unreachable from our main host, that request may be routed through a relay server we operate in the United States.
  • If you choose a format to download, the media is fetched and assembled on our server, which means a copy of that third-party file exists briefly on our disk before it is delivered to you and removed.
  • We keep a short cache of the video's technical details (formats, sizes) for about 10 minutes, because the platforms' own links expire quickly.

The link you paste is necessarily disclosed to the platform that hosts the video and to the relay. You are responsible for having the right to download what you request; see our Terms of Service.

Account information

You can use almost all of ToolsPivot without an account. If you do create one, or sign in with Google, Facebook, or Twitter/X, we store the information needed to run that account, which may include your name, email address, a profile picture, your sign-in provider ID, and any profile details you add such as company, phone number, and address. If you register directly, your password is stored in a secured (hashed) form and we cannot read it.

Newsletter and contact form

If you subscribe to our newsletter, we store your email address so we can send it. If you use the contact form, we store your name, email, message, and basic request details (including your IP address, browser user-agent, and the page you came from) so we can reply and prevent spam. If you leave a review, we store the review content and rating you submit.

Bug reports

If you report a bug, we store your name, email address, the page the problem happened on, the type of issue, your description, and basic request details (IP address, browser user-agent, referring page) so we can reproduce and fix it.

  • You may attach up to 5 screenshots of up to 5 MB each. Screenshots are re-encoded on arrival, which removes any embedded metadata, and are stored outside the public web directory.
  • Screenshots are kept for 90 days, then deleted automatically. This is the one exception to our rule that uploaded files are not retained, and we call it out here so the exception is not buried.
  • Only image attachments are accepted. To share any other kind of file, the form asks for a Dropbox or Google Drive link instead, which means the file stays in your account and is never uploaded to us.

Information we collect automatically

  • Usage and device data. Like most websites, our servers and analytics tools record standard information such as your IP address, browser type and version, device and operating system, referring page, the pages and tools you use, and the date and time.
  • Cookies and similar technologies. See the Cookies section below.
  • Analytics. We use Google Analytics and Microsoft Clarity. Microsoft Clarity records session replays — that is, a reconstruction of your visit including mouse movement, clicks, scrolling, and page changes, which can be played back. Clarity masks text input by default, but you should treat a session-replay tool as more intrusive than page-count analytics, which is why we name it plainly here. Both providers set their own cookies and are covered by our consent banner.

What we do NOT collect

  • We do not receive anything you do in a fully client-side tool. Colors you pick, images you compress or view metadata for, text you format, and files you convert on those tools never reach us.
  • We do not keep files uploaded to a server-side tool beyond the 30-minute processing window. The single exception is a screenshot you deliberately attach to a bug report, described above.
  • We do not read, mine, or train anything on the contents of documents you convert. They are processed by software on our server and deleted.
  • We do not ask for and do not want your passwords, card numbers, or other secrets inside our tools.
  • We do not sell your personal information to anyone.

How we use your information

  • To run the tool you asked for and return a result.
  • To operate, maintain, secure, and improve the site and our tools.
  • To prevent abuse, spam, and automated misuse, including rate limiting and bot protection (see Cloudflare Turnstile below).
  • To respond to your messages, fix bugs you report and, if you subscribed, send our newsletter.
  • To show advertising that keeps the site free (see Advertising).
  • To comply with the law and enforce our Terms of Service.

Third-party services

To keep the tools free and working, ToolsPivot relies on third-party services. Depending on which tool you use, some of your information (such as the domain, URL, or text you enter, or your IP address) may be sent to these providers. Each has its own privacy policy. We only send your input to the provider needed to run the specific tool you chose.

  • Advertising: Google AdSense.
  • Analytics: Google Analytics, Microsoft Clarity (session replay).
  • Infrastructure: Cloudflare, which sits in front of the site and handles security and caching.
  • Bot protection: Cloudflare Turnstile (used on some tools to confirm you are human).
  • AI providers. Our AI writing, rewriting, humanizing, detection, and audit tools send the text you submit to a large-language-model provider. We currently use OpenAI, Google Gemini, and OpenRouter. OpenRouter is a broker that forwards the request to a further model provider on our behalf. Do not put confidential material into an AI tool.
  • Tool data providers that receive the address or text you enter, only when you use the relevant tool:
    • Google Safe Browsing and Google Web Risk — website safety checks
    • Google Autocomplete — keyword and question tools
    • Google PageSpeed Insights — page speed and Core Web Vitals
    • Serper — plagiarism checking (the text you submit is sent as search queries)
    • LanguageTool — grammar checking (the text you submit is sent for analysis)
    • Ahrefs — Domain Rating lookups
    • Public RDAP and WHOIS services and IANA — domain and IP lookups
    • Cloudflare and Google DNS-over-HTTPS resolvers — DNS tools
    • Public blocklists including Spamhaus, SpamCop, UCEPROTECT and SURBL — blacklist lookups
    • ip-api and comparable services — IP geolocation and hosting checks
    • Internet Archive Wayback Machine — domain age
    • Dropbox and Google Drive — only if you choose to attach a file link to a bug report, in which case you authorise the connection yourself and we receive only the link

This list changes as tools are added or updated, and we will keep it current here.

Cookies

Cookies are small files stored by your browser. We use them for the following purposes:

When you first visit, a banner lets you accept or decline non-essential (analytics and advertising) cookies. You can also control cookies in your browser settings. Blocking essential cookies may break parts of the site.

Advertising and your choices

ToolsPivot is free because it shows ads through Google AdSense. Google and its partners may use cookies to show ads based on your visits to this and other sites. You can manage personalized advertising in your Google Ad Settings and learn more through Google's advertising and privacy resources. If you decline advertising cookies in our consent banner, ads may still appear but should be non-personalized.

How long we keep information

We delete on a schedule, by an automated job that runs every day. These are the actual periods, not estimates:

We may keep information longer where the law requires it, or where we need it to resolve a dispute or enforce our Terms.

Your rights

Depending on where you live — for example under the GDPR in Europe and the UK, the CCPA in California, or the Digital Personal Data Protection Act in India — you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, to withdraw consent, and to opt out of the "sale" or "sharing" of personal information. We do not sell personal information.

To exercise any right, email info@toolspivot.com and we will respond as required by law. Because most of our tools work without an account, we may need extra information to locate records that relate to you, and in many cases there will be nothing to find — which is the point of designing the tools this way. You can unsubscribe from the newsletter at any time using the link in the email.

Security

We take reasonable technical and organizational measures to protect information. These include deleting uploaded files on a timer, storing uploads and bug-report screenshots outside the public web directory so they cannot be reached by a web address, re-encoding uploaded images to strip embedded data, keeping API keys and secrets on the server only, hashing account passwords, running an automated daily deletion job so old records do not accumulate, and using bot protection and rate limiting. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

Children

ToolsPivot is not directed to children under 13 (or the minimum age in your country), and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.

International users

ToolsPivot is operated from India, and the operator is responsible for how your information is handled. The site is used worldwide, and the infrastructure is not all in one country:

  • Our main servers are hosted with Oracle Cloud in Saudi Arabia, with a standby server that holds the same data.
  • Cloudflare operates in front of the site worldwide and may cache pages and terminate secure connections at a location near you.
  • A relay server in the United States is used for some outbound requests, including for the video tools.
  • Our third-party providers operate in their own countries, principally the United States and Europe.

If you use the site from the European Economic Area or the UK, your information will be transferred outside it. We rely on the safeguards offered by our providers for those transfers.

Changes to this policy

We may update this Privacy Policy as our tools change. When we do, we will update the date at the top. Continued use of the site after a change means you accept the updated policy.
